Taking a look at Spaceflow's new Document Management System

We are excited to announce that the Document Management System (DMS) is available as of August 12th, 2022!

Middle of 2022 was our biggest campaign of new feature updates yet. Through our updated product rollout, we’ve been publishing a series of blog posts explaining and exploring all of our new functionality.

To bring you up to speed, we started with our overview article, where we set the stage for all the new features we are launching. Then, we shared a post focusing on our Newsfeed, which has all new targeting and scheduling options, perfect for “set it and forget it” posting. Then, we shared info on updates to our ticketing system, which has a native commenting and tracking system added with the new update.

After that, we discussed our group messaging features, which will come later and will allow small groups to chat together, perhaps to plan an event or for property managers to target a specific group. Each of these new features is set to augment the way people communicate on Spaceflow.

This time, we are talking about something completely new. We are excited to announce that the Document Management System (DMS) is available as of August 12th, 2022.

This system allows managers on the landlord side to add documents to a clearly defined file structure, available to anyone provisioned access, from anywhere. Instead of sharing information with occupiers via Google Drive, a custom server, or (gasp!) print-outs, managers will now have the ability to centralize their content all in one easy place.

The DMS system includes folders for things like floor plans, contracts, house rules, and critical onboarding information. Property managers can easily adjust the default folders (categories) or create their own.

Within each folder, Spaceflow users can easily narrow down their search by using filters for things like the relevant tenant, space, or category. No more aimless searching for old documents!

There are a large number of uses for the new DMS system. It is an ideal way for residential landlords to share their lease agreement as well as policy documents with tenants.

The supported file formats are:

  • Archive files (.ZIP, .RAR)
  • Image files (.JPEG, JPG .PNG, .GIF, .TIFF, .SVG)
  • Video files (MPEG4, .MOV, .AVI, MP4)
  • PDF
  • TIF, TXT
  • CSV
  • Excel (.XLS and .XLSX)
  • PowerPoint (.PPT and .PPTX)
  • Word (.DOC and .DOCX)
