Introducing new Spaceflow platform features and updates released in the first quarter of 2025. New Admin updates for streamlined operations, and tenant app updates to continue creating outstanding experiences.

01 Manage amenities and vendors with ease

We made a highly-anticipated update to the way you manage vendors in the Admin Console.

Now, when you create or edit a vendor, you can target multiple spaces within the same portfolio where the vendor will be eligible. This means that when you create a service or amenity with that vendor, it will be automatically visible and accessible to users across all selected spaces, no duplication needed!

  • Greater scalability – Easily set up upselling options across large portfolios.

Also, to better highlight your revenue-generating offers, you can now add up to three images per amenity displayed in the app. Users can swipe through and get the full picture of what’s on offer, and you have extra room to make your amenities shine.

02 New in the Spaceflow app: personalization and a fresh UI

What’s new in the Spaceflow app for tenants?

We know users may have access to multiple doors, and finding the digital key to one quickly is the key to a seamless experience interacting with the building. For mobile access integrations that require the Swipe to Unlock feature in the app, users can now pin frequently used doors to the top, ensuring their favorited doors are always within easy reach.

We’ve brought a fresh update to the user interface for the My Space and Profile tabs. The user experience of the Spaceflow app plays a huge role in the overall tenant experience, so we continue to innovate and upgrade the design.

Now, those tabs align with the modern visual components that we introduced last year, for a more consistent and polished experience. We’re already working on the next iteration. Stay tuned!

Events are crucial to building and nurturing community, and we want to help tenants stay engaged. Now tenants can save events to their native calendar. When someone joins an event in the app, they’ll be prompted to save it directly to their calendar. The confirmation screen helps prevent any accidental RSVPs. This feature also leverages native alerts and reminders to improve event attendance.

We’ve made it easier to connect your tenants to their spaces with the new user invitation feature, which you can configure in each space in the Admin Console. 

Tenant representatives can now invite other users directly from the app, with invitations configurable per building. This helps to ensure that permissions are managed properly—only tenant representatives can invite users, who will automatically be assigned the appropriate role.

This streamlined process saves time for space managers and helps tenants seamlessly onboard to your property's customer experience.

You can now add more than three custom buttons in the "My Space" section of the app—no more limits! This equips you to integrate a wider range of services and shortcuts, giving your tenants easy access to everything they need from smart metering to indoor navigation.

  • Easily incorporate additional third-party services and tools, such as smart access or smart parcels.
  • Provide tenants with a more tailored and comprehensive interface, directly addressing their specific needs.

03 Ticketing updates for streamlined operations

Ticketing is one of the most heavily-used features of the platform. It saves time for property teams, connects them with tenants for feedback and requests, and directly impacts tenant satisfaction, retention, and operational costs.

With that in mind, we made several improvements to the Ticketing dashboard in the Admin Console.

The top section of the dashboard is redesigned to be more functional and interactive, while you can more efficiently manage tickets with new features like:

  • Status updates & last comment changes visible directly in the dashboard
  • Advanced filter options like filtering by unit  
  • Clicking on a ticket now opens the ticket details instantly
  • Keyboard shortcut added to open a ticket in a new browser 
  • Ability to attach files to internal comments

Many property managers and owners employ external contractors for ticketing. We’ve also introduced a public ticketing portal to facilitate seamless collaboration between clients and contractors for managing tickets.

Contractors can view relevant ticket information and communicate internally with the property team. When a contractor comments on a ticket via the public portal, their comment is automatically attached to the ticket as an internal comment. They’ll also receive a notification email when a ticket is created or updated.

04 Integration updates: Smart parcels and seamless access for booked spaces

We’ve integrated Bringme, a brand new smart parcel solution with native app screens for a seamless experience managing and tracking deliveries directly within the Spaceflow app.

No need to create multiple accounts, users can seamlessly access their parcel information with no additional logins. Thanks to native push notifications, they can stay updated with real-time alerts for upcoming deliveries and changes. With detailed history and status updates, tenants can track both current and past deliveries.

Last time, we announced a new integration with mobile access provider Secom. We’ve added a new feature through Secom that creates temporary access to a user based on their booking.

Using the white label Spaceflow app as a Digital Key, users can see all the doors they have access to to unlock them with a swipe. When a tenant books a meeting room or other shared space, they will receive access in their app.
